Terms and Conditions

1) GDPR

From 25th May 2018 new data protection laws came into place. By signing this form you confirm that you give permission for me to store these details in compliance with your booking. All information will be securely stored and will never be passed on to another party. 

2) Non-Refundable Deposit and Cleaning & Damages Deposit

A deposit of £100 is required on returning the booking form. This includes your £50 non-refundable deposit and a £50 Cleaning & Damages Deposit. Arrangements can be made to add the Cleaning & Damage Deposit to the final invoice. The deposit must be received within 14 days of your provisional booking. 

The Cleaning & Damages Deposit is refunded within 2 weeks of the end of your holiday and after the caravan has been checked for cleanliness or damage. Anything found that has not been reported by yourself within 5 days of the end of your holiday will be reported to you and the deposit withheld.

If no deposit or contact is made within 14 days your provisional booking will be cancelled and the caravan re-let.

Once the booking form and deposit are received a confirmation letter and invoice showing details of booking and remaining balance will be sent to you. Please check this carefully as changes could be subject to charge.

3) Balance

The balance is due 6 weeks before commencement of holiday. No reminder will be sent. If payment is not made within 4 weeks of commencement of holiday we will cancel your booking unless you have made contact with us regarding any problems.

Final confirmation will be sent at least 3 weeks before commencement of the holiday. This will include the caravan address and your key safe code.

4) Arrival / Departure

Arrival time is from 1.30pm. Please do not arrive before this time. Keys are collected from the key safe at the caravan. Details of this will be sent once the balance has been paid.

Departure time is no later than 10am. Keys must be returned to the key safe on departure. Please make sure the key safe is locked once you have returned the keys. This is a £10 charge for lost keys or keys not returned to the key safe.

If on arriving at the caravan you find any problems please contact me as soon as possible.

5) Accommodation

Accommodation may only be used by the persons listed on the booking form. The person who signs the booking form will be responsible for the entire party and the condition caravan is left in. Being a family park I can only accept bookings from families.

The accommodation must be left clean and tidy. This includes making sure all bins are emptied, all pots are washed and put away, that the fridge/freezer is emptied and cleaned, that all cupboards are emptied of food and cleaned and all bedding is replaced on the bed it came from.

The caravan is inspected thoroughly after each booking. Any breakages or damage to furniture, fittings, inventory or the caravan or any cleaning issues such as marks on carpet or upholstery or anything mentioned in the paragraph above will result in the Cleaning and Damages Deposit not being refunded.

6) Funworks Passes

Funwork passes are required to access the entertainment and swimming pool on site. Passes are not included in the cost of caravan hire. For prices please contact the park reception. You can purchase the passes on arrival at the park.

7) Dogs

Well-trained small/medium dogs are allowed at a charge of £30 per week and £15 per short stay (3 or 4 nights). There is a max of 2 dogs. Damage or mess caused by a dog will mean the Cleaning and Damage Deposit is withheld. All dogs must be kept on a lead on park at all times. Certain dogs are not allowed on park. Please contact me for details.

8) Changes

By you - Changes to dates are subject to availability and a £5 administration charge if made within 4 weeks of original holiday date. Changes to party numbers is allowed up to the maximum occupancy of the caravan.

By us - An changes made by us will be notified to you at least 3 weeks before your arrival date. Changes will only be made if there are problems on park such as flooding, park closures, etc. In the event that alternative dates can not be found a full refund will be given.

9) Liability

We DO NOT accept liability for injury, loss or damage suffered by you or any member of your party whilst using the caravan. We DO NOT accept liability regarding your personal possessions or your vehicle whilst at the caravan.

10) Cancellation

If you cancel your holiday you must let me know as soon as possible by email. In the event of cancellation the following charges apply:

11) Complaints and problems

Whilst on holiday - If you have any complaints or problems please contact me to discuss. If I do not answer please leave a short message with your concern or text me and I will get back to you as soon as I can. I will then make arrangements for someone to come and resolve your issue. Exceptions to this include loss of electricity, gas, water, broken window, leaks, problems with the boiler or other major problems. These can be reported directly to the park. Please report to the Owners Reception and not the main reception.

On returning from holiday - If on your return you wish to complain about any element of your holiday please contact us by email to sarahsolsticecaravan@gmail.com within 14 days of your return. I try to reply to all emails within 28 days.

12) Park & Caravan Information

Smoking - There is no smoking in the caravan or on the steps. If it is obvious that smoking has taken place in the caravan the Cleaning and Damages Deposit will be withheld. If smoking outside please dispose of your litter appropriately.

Dogs - Dogs are permitted only in the lounge and kitchen areas. Please cover the sofa's at night. If it is clear they have been in other parts of the caravan your Cleaning Deposit will be withheld. Please clean up after your dog on park especially outside the caravan and dispose of appropriately.

Safety - Your caravan is fitted with a smoke alarm and a dry powder fire extinguisher for your safety. It is also fitted with a Carbon Monoxide Alarm.

Heating - The caravan is centrally heating. It is controlled by a Hive device, which is located under the fire extinguisher, meaning there is no need to touch the boiler. The heating will only come on by pressing the boost button on the Hive unit. This is labelled for you. The maximum amount of time the heating can be on for is 6 hours.

Litter - Please depose of all litter in the large bins provided. Recycling bins are also provided around the park. Bins must be emptied before leaving the caravan at the end of your holiday or the Cleaning Deposit will be withheld.

Bedding - Duvets and pillows are provided throughout the caravan. These are all protected. Please do not remove these covers or mattress protectors. Please remember to bring your own sheets, duvet covers, pillow cases, etc.

Cleaning - Although the caravan will be cleaned on your departure there are times when this is not possible due to cleaner having holidays, etc. We ask that you leave the caravan clean and tidy. This includes emptying bins, putting bedding back on beds and removing food from the fridge/freezer and cupboards. Cleaning materials have been provided for you.

Vehicles - Cars may only be parked on the door side of the caravan. Please do not block other caravans, roads or grass areas.

Washing - Drying must only be done using the clothes airer provided. You will find one in the store cupboard. No clothes lines are permitted. An iron and ironing board have also been provided.

Ball Games - These are only permitted on designated areas and not between caravans as this could result in damage.

Noise - Please keep all noise down to a minimum especially at night as this is a family site.
