ASPA (WA) Annual General Meeting, Sunday 10th July 2016

Held at the South Perth Senior Citizens Centre, 53 Coode St, South Perth

Business arising from the 2015 AGM minutes -

Presidents Report – was distributed to the meeting and taken as read.

Treasurers Report was tabled and copies distributed. Balance as at 30 June 2016 was $14,138.84. This includes funds earmarked for WYSC, the State Challenge and the 2017 Australian Championship.

Actual ASPA (WA) balance as at 30 June 2016 = $2,744.84           

Funds available for the WYSC = $1,234

Funds available for ASC 2017 = $9,560

Funds available for AM/STC = $600

Value of sales stock in hand approx. $2,000

There will not be any further financial support from Mattel.

Affiliation. We have 16 affiliated clubs. Manjimup, Melville and Darlington Clubs have paid affiliation fees for 2015/2016.

Membership/Fees – there were 120 financial members as at 30 June 2016. Financial members for 2015/2016 as at today = 75. Membership fees remain at $20 pa for adults and $10 pa for juniors. WA is the only state where membership is increasing.

GENERAL BUSINESS

Across the Board. After discussion the meeting agreed that all members should continue to receive paper copies.
Tournament start time. The meeting agreed that the 9.30 AM start time is to be adhered to and the TD will start late-comers clocks.
Sausage sizzle to raise funds for the WYSC to be held on Saturday 5 November 2016

MATTERS ARISING:

Venues: Graham Bell has booked the Spearwood venue for the State Championship and April Fundraiser at a saving of $50 per event.

Fund Raising and Sausage Sizzle(s): Falling numbers and increased venue costs at tournaments are making traditional methods less effective.   Fundraising options to support our players in the WYSC, the Australian Masters and the Australian Team Masters were discussed.    Jane Walker advised that Bunnings restrict permission for fundraising ‘sizzles’ to the Bunnings closest to the group’s official postal address.  i.e. as Gleny’s address is ASPA’s official address, we can only use Bunnings Morley. 

Action: 

1.            Jane is to discuss with Bunnings Melville whether her address as National Youth Coordinator will enable us to ‘sizzle’ there as well, which might allow us to hold two sizzle events in 2014.

2.             Graham to organise an official letter from ASPA to potential attendees at the AM & ATM events to outline options for financial support for their attendance.

STOCK STORAGE: Ongoing thanks to Louise Love for doing this.

FINANCIAL REPORT:                Moved C. Hudson, 2nd A. Stewart, adopted unanimously.

YOUTH/SCHOOLS PROGRAMME: It was agreed that the price for the school kits should be increased to $200, this price to INCLUDE postage.

Telemarketing and ‘cold canvassing’ are not effective.  Jane and Stan Gregec are designing a postcard to use as a marketing tool directed specifically to primary schools and teachers.  Possible cost for 500 is $200.

The ‘bottom line’ objective for this initiative has always been to try and gain new, competitive Junior players to ASPA. 

We discussed the concept of a workshop/tournament for school children who have been introduced to Scrabble through our program or who have played with their parents.  We agreed that a one day combined workshop/tournament using the standard board seemed the most workable idea probably during the July school holidays.  We would like to encourage parent participation in some way.

Action: Jane is to:

a)            draft up a day’s programme
b)           create a questionnaire for teachers to obtain their opinions, gauge support levels and to see if it may be possible to use a school classroom for the event.   This to be circulated to the committee first for comment.
c)            contact teachers already using the programme once term starts.

GENERAL BUSINESS:

FUNDRAISING AT TOURNAMENTS:
It was decided that the theme for the April Tournament, to be publicised in the February ‘Ponent Post would be ‘USEABLE STUFF’

The concept of a Jeopardy/Gambling fundraiser for October will be discussed at a future committee meeting – possible ‘betting’ on results or individual games, all proceeds to fundraiser.

ASPA WA’S EDUCATIONAL ROLE

Graham pointed out that the cost of venue hire makes responses to postal/email canvassing to get firm numbers of those who would attend any workshops ineffective.  It was felt the average club member enjoys the social aspect of club membership and is not particularly interested in taking the game more seriously.

Louise Love had expressed a strong interest and offered her home as a venue for a workshop combined with games.  Jane Walker offered her home as well. 

Action: Graham to explore possible formats and numbers required

FUTURE COMMITTEE MEETING TIMES:

Motion: That future committee meetings begin at 10am.   Moved: C. Hudson,  2nd A. Stewart.  The motion was carried subject to response from absent members.  

The next meeting will be held some time in March.

Business arising from 12 January meeting – Graham wrote to the top 6 WA qualifying players advising that ASPA WA would have very limited funds to assist  their travel to the AM/STC in Adelaide and suggested they may want to run a fund raising event such as a sausage sizzle.

MEMBERSHIP. As at today there are 120 financial members for 2013/2014.

TREASURER’S REPORT.  Balance as at 1ST April  was $3,845.00. Major income since 1st April – raised $516 for the WYSC. Balance for WYSC is now $925.

Owe Alan Mathews $240 for hook books. Mattel allocation for 2014 still to come.

Today the balance is $4,999.09. Glenys moved the financial report be accepted, seconded Jane Walker . Carried.

FEES 2014/2015 Current membership is $18. It was agreed that the membership fee be increased to $20 with effect 1 July 2014. Junior membership fee is to remain at $10.

Tournament entry $15 to be increased to $20 with effect 1st January 2015

Affiliation fees – to remain at $3 per club member.

 

YOUTH SCRABBLE. School Tournament. Scheduled for Sunday 5th October at South Perth.

Format: use regular size boards & 100 tiles. Start day with a practice game, then question time/workshop followed by lunch, then 3 games. Parents are to be invited to play in a separate section. Invitations to be sent to every child who has participated in the Schools Program.

Proposed postcards about the Schools Program to send to schools – Jane to write text, and Mattel to be approached to print. Alternative we carry the cost of printing.

Sausage sizzle to be scheduled on a Saturday – preferably 12th or 19th July - to raise funds for the WYSC. Funds raised at the fundraising tournament scheduled for October will go towards 2015 WYSC.

CASPA AGM Friday 18 April 2014

Aus. Championship – no suggestions for additional awards.

Aus. Masters –States have voted yes to remove State Representative criterion.

AM/STC & Trans-Tasman - qualifying period has been changed to April/May.

Proposed Commonwealth Scrabble Teams Championship – nil funds available.

A Rule change to set the time allowed to consider a challenge at the end of the game is pending.

2016 AUSTRALIAN SCRABBLE CHAMPIONSHIP

Venue. A venue needs to be confirmed within the next 3 months. Gloucester Park is not available. The Seniors Centre at the Perth Railway Complex is to be considered; also Perth Modern School. Glenys and Maureen will look for venues over Easter.

Sub-Committee. Volunteers will be called for in the June Ponent Post to serve on the sub-committee or volunteer for a specific task.

GENERAL BUSINESS

Email meetings may be held between regular meetings if an issue needs to be expedited.

The 2013 Mattel allocation has not been received as at 7 July but is expected by the end of the month.

Schools Program – expenditure $4,539, income $3,051. Kits are sold for $150. We are owed $600 for 4 kits.

WYSC – have raised $931 since December 2012 towards the 2013 WYSC. This includes $360 donated by Louise Love and $500 donated by Graham. There is also a credit of $288 from last financial year.

Workshops.
Russell Honeybun has volunteered to run two workshops in the near future. One on Time Management and another for prospective Tournament directors.

Tournament for Children
Jay Jay suggested that a tournament be held for children in 2014, and Boon supported the idea. It is hoped that interested children from the Schools Program will participate in such an event to make it viable.

CASPA

No minutes have emanated from the CASPA AGM             held on 29 March 2013.

Carolyn Watt CASPA Treasurer provided a financial report for the calendar year 2012. Income $20,345, expenditure $16,401, profit $3,944, balance $7,900.
Martin Waterworth (Ratings) and Richard Birch (Editor, ATB) provided reports

 SCHOOLS PROGRAM. Jane’s report was circulated prior to the meeting.

Glenys to follow up with Russell on the proposal that CASPA pay for a kit for each State ASPA; in particular NSW, VIC & SA.

Jane will follow up our application to Officeworks for sponsorship.

Jane to follow up with Chris Hall and Carolyn Watt re a web site for the Schools Program in due course.

Fundraising – a sausage sizzle will be organised at Bunnings Morley on 13 July.

Volunteers are to be called for in the Ponent Post to staff the kiosk. A pamphlet is to be produced to hand out to customers.

The following two resolutions were passed by email and are now confirmed

1.      That the Committee authorise $335 of ASPA WA funds to partially cover Virgie Delfin’s accommodation costs for the World Youth Championship.

{Donations received for this purpose =$653.35 ASPA funds donated $16.75}

2.      That the 2013 WA Championship be a single division tournament, played over 18 games, with a reset after game 9. Carol Hudson requested her objection to the event being a single division tournament be specifically recorded in the minutes.

Business arising from meeting of 21 October 2012

Carol Hudson requested the December tournament be moved from 1st December to 8th December. Moved Carol, seconded Anne Stewart. Carried.

CATERING – Jane volunteered to do the catering for 7 April. Maureen Gill volunteered for the WA Championship on 2nd & 3rd June.

MEMBERSHIP - As at today there are 122 financial members for 2012/2013.

PRESIDENT’S REPORT – At the end of 2012-2013 financial year Graham plans to return about $500 paid to him as AUPAIR operator. The meeting agreed that these funds at this stage be earmarked for WA entrants in the 2013 WYSC, subject to other contingencies arising.

TREASURER’S REPORT.  Balance as at 28 February 2013 was $3,646.72
Interest on Internet bank account for 5 months - November to March inclusive $40.06.

Major income since the last meeting – rotating boards $650, Collins Word List $300.
Major expenditure since the last meeting – hook books $400.

CASPA

Carolyn Watt CASPA Treasurer will be attending the CASPA AGM and has agreed to be ASPA WA’s Representative.

Jane has arranged for a schools kit to be shown at the AGM.

The rule on cheating has been under extensive discussion by CASPA.

The meeting agreed that the CASPA AGM agenda needs so be seen before the event.

SCHOOLS PROGRAM. Jane’s report was circulated prior to the meeting. The Maths Association cannot fit a ‘Let’s Play Scrabble’ into their April Conference but has invited Jane to present it in Busselton in August. She will be presenting the program to the English Teachers Conference in May.

Fundraising – a sausage sizzle will be organised at Bunnings Morley.

Sponsorship – an application for material support is to be sent to Officeworks.

Web site. Chris Hall and Carolyn Watt have both agreed to help set up a web site for the Schools Program.

PUBLICITY/PROMOTION. Jegatheva Jegathesan sent a copy of an article from the Western Suburbs Weekly and from Radheya’s school web site regarding his sons MUW achievement at Fremantle. Glenys advised that Curtin Radio is generating about two queries per week on average.

 2013 TOURNAMENTS – Venues and dates have been confirmed.

Esperance - Currently 20 entrants registered with a month to go until the event.

Fundraising - $91 profit was made on the two ’26 letters – pick one’ raffle.

2013 WA Championship – after extensive discussion it was agreed that cash prizes will be awarded on the proviso that we have a minimum of 36 entrants. Moved Glenys, seconded Anne.

Survey – 5 point penalty not supported. 22 minute games supported.

WORKSHOP.  It was agreed that a follow up workshop to the one held in January be an Introductory Workshop directed at ‘recreational’ level players and focussing on the enjoyment to be derived from the game.

GENERAL BUSINESS

Match Play – Chris Hall has proposed to organise a match play tournament. Graham will clarify the format with Chris before proceeding.

Membership – Junior Rate – To be discussed at the next meeting.

Clocks – Anne asked that players not moved clocks or place them on a designated table.

Catering for the November tournament; Edie Mueller has volunteered. Graham to call for volunteers for the December tournament by advertising on the email list.

Esperance tournament Anzac weekend 26/27 April     2013. Graham to follow up.

Venue for a 3 day tournament (long weekend). Jane Walker was not able to find anything affordable.

Carol proposed that the minutes,  financial and other reports be emailed to committee members before the meeting in future. Seconded Maureen Gill.

PRESIDENT’S REPORT

Graham advised that he has run four tournaments since becoming President and prefers to not play whilst doing this. On behalf of ASPA WA he thanked all members for their generous support for the two fund raising tournaments, and Marvi received $1,500 towards her travel costs etc to attend the World Youth Scrabble Championship in the UK. Graham plans to visit all WA Clubs in due course. Jane and Graham met to discuss the Schools Program. Report be accepted moved Jane, seconded Glenys.

TREASURER’S REPORT.  Balance as at 20 October 2012 was $4,816.34
Interest on Internet bank account for July, August, Sept & Oct $49.89

Major income to date for this financial year – membership $540, rotating boards, pro tiles etc $629 & books sold $1,117

Major expenditure to date for this financial year – 15 rotating boards $949, pro tiles $582, property insurance $504, CASPA levy $333, printing score sheets $459, WA representatives for AM/STC & Trans-Tasman $1,750 and books bought $1,283.

Youth fund raising: Marvi received $1,500. $308.75 held over for next financial year.

Affiliation fees – all clubs have paid and total including fees paid in June is $504.

CASPA

ASC – the ratings cut-off point for the ASC 2013 is 1,300 points.

AM/STC – for the top of state representative to be eligible for the AM they must be ranked in the top 30 nationally. The ACT has asked to be included in the annual rotation of host cities for the AM/STC and may host it in 2014.

SCHOOLS PROGRAM

Graham commended Jane Walker, Janet Moore and Zia Throssell on how much they have achieved in developing and promoting the program in just 12 months. Jane said they have received lots of positive feedback and there is great enthusiasm for the program. Jane distributed a report on the program to committee members.

Our application for a grant from the Dept of Communities was unsuccessful. After extensive discussion it was agreed to budget $1,500 to fund the program for another 12 months to provide 50 more short boards, 400 student work books and 10 teachers handbooks. Kits will be sold to schools for $150 each where possible. Plan to find 4 or 5 interested schools in the north east suburbs. Plan to present the program to the CASPA AGM Easter 2013.

Publicity/ promotion. Nil to report.

WORKSHOP.  Graham advised that Russell has volunteered to run a workshop probably on 13 January. Feedback from Grahams email request indicated the workshop should be aimed at players rated 800 – 1,200 points. Workshop fee $10.

2013 TOURNAMENTS – a list of proposed tournament dates was distributed. Venues and dates are still to be confirmed.

GENERAL BUSINESS

Mike Clarke has resigned from the committee. Graham replied and thanked Mike for his substantial contribution to ASPA WA. Graham will approach Louise Love to join the committee.  Glenys noted that Carolyn Watt should be included in committee email activity/discussion when appropriate.

Balance as at 30 June 2012 was $8,222.31. ASPA (WA) profit for the financial year was $1,956.38.  
The 2012 Mattel allocation of $420 was received on Monday 25th June.
Both expenditure and income are up from last year because of the introduction of the new word list and related word books.

Tournaments.
Esperance. A tournament will be held in Esperance on 26th & 27th April 2013.
Catering. Anne Stewart will do the catering for July and Jane Walker in October. Volunteers will be called for to assist with catering for tournaments from November onwards.
Tournament equipment. Louise Love has donated the $30 monthly storage compensation payment fee to the youth fund.

CASPA

CASPA Coordinator. Russell Honeybun has been elected to this position for 2012/13.
ASPA Membership Australia wide 881.
Australian Masters/ State Team Challenge 2012 will be held in Sydney in 1/2 Sept. Russell Honeybun, Graham Bell, Dianne Ward & Edie Mueller have qualified for the ASPA WA team. The first reserve is Chris Hall, second reserve is Glenys Lawrie.
Trans-Tasman Challenge will be held in Melbourne 16/17/18 November.
World Youth Championship will be held in Birmingham UK 7 – 9 December.
Australian Scrabble Championship Easter 2013 will be held on the Gold Coast.
World Tournament will be held in Warsaw Poland 12 -16 October 2013.

AUSTRALIAN SCRABBLE® PLAYERS ASSOCIATION (WA) INC

 PRESIDENTS REPORT 2011//2012

 

TOURNAMENTS – There were 18 rated tournaments held during 2011/2012.

 ASPA (WA) hosted 3 Maximins, 4 Opens including Bindoon, 1 Marathon, the State Championship, 2 Trisection tournaments, a Bi-section tournament, a progressive round robin, and 5 Clubs hosted tournaments.

Annual awards for the calendar year 2011 were presented for record achievements at tournaments and for rating record achievements.

AUSTRALIAN MASTERS/STATE TEAM CHALLENGE – ASPA (WA) sent a team of 4 to this event in September 2011.

WORLD YOUTH SCRABBLE® CHAMPIONSHIP December 2011. Marvi Delfin attended as one of 7 youths representing Australia.

The COLLINS word list 3rd edition came into use 1st January 2012.

WA EMAIL LIST – Carolyn Watt created and maintains our email list. On behalf of ASPA (WA) I wish to express appreciation to Carolyn for this facility and for managing the WA web site.

CATERING – a big thank you to Vera Etherton for managing the catering for tournaments for the past 3 years.

WORKSHOPS – I presented 2 workshops in South Perth & one in Cottesloe.

PROMOTION – Jane Walker succeeded in obtaining promotion for Scrabble on 3 radio stations and in community newspapers.

JUNIORS PROGRAM – Jane Walker, Zia Throssell and Janet Moore developed a professional Schools program that has been presented in one school to date and another 3 schools will present it next term. An application for a grant for about $1,300 to fund the schools program was submitted to the Dept of Communities.

COACHING CLINIC – Karen & Alastair Richards ran a junior’s coaching clinic on 2nd June. Seven children attended.

Thank you to Jane Walker for her promotional efforts and together with Janet and Zia for the very successful schools program.

TOURNAMENT EQUIPMENT - Louise Love has volunteered to store the equipment and donate the $30 monthly compensation fee to the youth fund. My eternal gratitude for this.

On behalf of ASPA (WA) I would like to express my appreciation for the work and support by members that contributed to the success of tournaments. In particular Russell Honeybun, Carol Hudson, Graham Bell, Virgie Delfin, Vera Etherton, Anne Stewart, Mike Clarke, Maureen Gill, Kate Horan and Chris Dyson.

AUPAIR - replacement program. ‘DIRECTOR’ and ‘tsh’ are the alternatives under consideration. Glenys will put to the CASPA AGM that ASPA WA will trial ‘tsh’. Russell stated that ‘tsh’ is the better program and is used internationally.

Mattel – as per Mattel’s expressed interest, no states have reported any activity regarding promoting Scrabble to primary school children.

AM/STC – will be hosted by Sydney on 1st and 2nd Sept.

Trans Tasman Challenge –will be hosted by Melbourne Fri/Sat/Sun16/17/18 Nov.

Membership numbers Australia wide not known at the moment.

World Youth Scrabble® Championship – Birmingham UK 7th – 9th   Dec 2012.

Publicity/ promotion. Curtin and other radio stations are generating enquiries.

Junior Program. Jane Walker, Janet Moor & Zia Throssell have developed a comprehensive junior program for teachers. Bicton Primary to do next term.
An application for $1,300 was submitted to LOTWEST for the equipment for the junior program and has been refused. Glenys will take the matter further.
Catholic, private, independent and Montessori schools still to be approached, and

Marvi may know a group of interested children.

Old adjudicator printer and equipment. Anne to advise Glenys the name of a shop in Collier Rd that may be interested. Glenys to try Office Choice in Beaufort St.

Job Descriptions

  1. Storing, maintaining and transporting tournament equipment. Various options were discussed. We can afford to pay for commercial storage. South Perth Seniors Centre to be approached again. Some members to be approached, and commercial options to be researched.
  2. Newsletters/circulars – distribution. Options to reduce the paperwork were discussed and will be tried for the June mail out.

 Tournaments for 2011 will be scheduled in early November as soon as the AFL fixtures are available. Extra tournaments to be scheduled in the early months of 2012.

The LOOK UP program will not be updated and will not be used after 31 Dec 2011.

The tournament planned for Esperance in 2012 is in doubt as the club has only 3 members.

CASPA

Graham Bell has volunteered to be the Rules Representative for ASPA WA.

Reciprocal rights for members has been agreed between ASPA and NASPA (North America Scrabble® Players Association)

There has been no progress in obtaining a replacement program for AUPAIR.

Guidelines for Aust Champs are being documented.

Mattel have indicated that they want to see evidence that Scrabble is being promoted to primary school children.

ASC – will be held in Hobart 7/8/9 April 2012.

Publicity/ promotion. Jane Walker has sent press releases to newspapers and radio stations. Twin Cities Radio has aired our advertisement. Jane will send out a press release in November about Marvi & the World Youth Championship.

Primary school youth. Jane Walker sent an email to the committee identifying the target groups as parents & schools, the benefits of playing Scrabble® and the age groups possibilities.

A sub-committee of 2 to 3 people including Jane & Judy will be set up. Several players were identified as possible committee members and will be approached – Sandra Levis, Faye Williams, Jay Jay, Louise Love, Rhonda Reynish, Zia Throssell & John Salmon.

Edie and Judy volunteered to be helpers.

A comprehensive submission to be drafted to send to Principals and P & Cs.
Catholic, private and independent schools to be targeted.
Marvi may know a group of interested children in the Success area.
Lotteries WA will be approached for grant for the program.

Workshop – Russell Honeybun will run a workshop next year.

The minutes of the 2010 AGM were read to the meeting.

Business arising from the 2010 AGM minutes is covered by the agenda.

Presidents Report – was read to the meeting.

Financial Report was tabled and copies distributed. Balance as at 30 June 2011 was $6,265.93. ASPA (WA) loss for the financial year was $50.33. Stock purchased in May/June and sold today includes rotating boards $290, clock $120 and various other items amounting to $140.

The 2010/2011 Mattel allocation of  $590 was received in March.

Expenditure was up $6.47 from last year, an insignificant amount. Income was down $216.61 due mainly to less revenue from affiliation fees and reduced sales across all saleable items.

Acceptance moved Jane Walker seconded Chris Dyson.                                                            

Affiliation Fees ($3 per club member) are due 30 Sept each year. Melville, Nedlands and Manjimup Clubs have paid affiliation fees for 2011/2012.

Membership/Fees – there were 145 financial members as at 30 June 2011. Financial members for 2011/2012 as at today = 100. Annual fees increased to $18 pa.

Tournaments. The AFL fixtures are taken into account (Eagles & Dockers games in Perth on Sundays) when setting the tournament calendar. A Fun Day will be held on [Thursday 29 December.] Additional tournaments will be scheduled for the early months of 2012

Esperance. The proposal to hold a tournament in Esperance on a long weekend in either March or Sep/Oct 2012 is still under consideration. The matter will be investigated further.

 

CASPA

CASPA Coordinator Glenys retired from this position on 30 June and Carol Johnsen President Victoria is the new incumbent.

Australian Masters/ State Team Challenge 2011 will be held in Adelaide in Sept. Russell Honeybun, Edie Mueller, Glenys Lawrie and Sally Martin are likely to make up the ASPA WA team. The first reserve is Chris Hall, second reserve is Judy Jones.

Australian Scrabble Championship Easter 2012 will be held in Hobart 7/8/9 April.

Bassendean, Rockingham, Yokine, and Coogee – these 4 tournaments will have 3 divisions instead of 4 unless we have 48 or more entrants.

The Open March Marathon at Windmill Farm, Bindoon was a wonderful experience and a very successful tournament. If there is enough interest we will repeat the event on the long weekend at the end of October. (Fri, Sat, Sun 28/29/30 October)

Chris proposed and it was agreed that we schedule more tournaments in the earlier part of the year in 2012.

CASPA

Cosmetic amendments will be made to the CASPA Constitution at the AGM 22 April.

Causeway Challenge – the national team format has been abandoned. Players will enter as individuals.

Causeway Challenge Grand Slam – scheduled for 2012 in Manchester (UK), Vancouver (Canada) and Melbourne. The Melbourne event will be held over 3 days, 9th, 10th and 11th March.

AU PAIR – a replacement program has been commissioned.

Mattel have committed to $11,000 funding for Scrabble Australia for 2011.

WESPA has been incorporated in Victoria. The WESPA Dictionary sub-committee will publish a new word list in 2011 to come into use in 2012.

OTHER BUSINESS

St Stephens Primary School, Duncraig. Glenys has been in contact with Diana Brown who has taken over from Shirley Houston to discuss a possible workshop for students.

Chris proposed and the meeting agreed to pay $100 donation to Michael Thelen for his work on the ZYZZYVA program.

Esperance. Scheduling a tournament in Esperance for 2012 was discussed and will be considered later in the year when the tournament calendar for 2012 is planned.

The Ratings Advisory Committee has been disbanded and the new National Ratings Officer is Martin Waterworth (QLD). Peter Kougi (VIC) is understudy to Barry Harridge (VIC), Michael McKenna (NSW) is understudy to Martin and Edward Okulicz (NSW).

Karen Richards has organised warm up tournaments for players representing Australia in major international events.

Trans Tasman Challenge 2012 will be hosted by Melbourne.

Mattel equipment orders will now be placed by individual States rather than a bulk national order.

ST STEPHENS PRIMARY SCHOOL in Duncraig is running Scrabble® tutorials provided by ASPA WA.

WORKSHOPS - 2 workshops were presented at the West Coast Learning Centre in Cottesloe.

FACEBOOK – Chris Hall has established and maintains a Scrabble® face book for ASPA WA.

AUSTRALIAN MASTERS/STATE CHALLENGE TROPHY – ASPA (WA) sent a team of 5 to this event in September 2009.

CASPA – a chronology of Scrabble® in Australia has been compiled and is on the national web site. Olga Visser (QLD) has been appointed as the Team coordinator for Australia’s entrants in the World Youth Scrabble® Championship.

MEMBERSHIP. As at 23 May there were 153 financial members for 2009/2010. It was agreed that the annual membership fee shall remain at $15.

FINANCIAL REPORT.  Balance as at 23 May 2010 is $5,021.25 

Major expenditure since last meeting  –books $631, CASPA levy $382.50, dictionaries $274, clock $130. Major income –sets/tiles $345, books $820, score pads $195, state & tournament levies $294. Darlington has paid affiliation fees.

WA Championship. Graham volunteered to adjudicate on Sunday 6 June. Chris Dyson will be a runner on the Sunday. Anne Stewart volunteered to bring another laptop for ZYZZYVA.

Tournament set up. Carolyn Watt and John Finlay volunteered to come early to ASPA sponsored tournaments to help set up.

Clubs hosting tournaments are to be given some guidance on delegating set up and pack up tasks.

Raffle tickets to raise money for causes other than Scrabble® can only be sold at tournaments with the agreement of the host club.

Marvi Delfin will be attending Karen Richards’ next coaching clinic in NSW. It was agreed that ASPA WA would donate $100 towards Marvi’s travelling costs.

CASPA

A chronology of Australian Scrabble® will be placed on the national web site.

An updated wordlist is expected to be available in 2012.

Mattel has reduced their funding to CASPA from $16,000 to $10,000 for 2010.

All and any activity involving children in Scrabble® will be reported to Mattel.

Olga Visser (QLD) volunteered to be Australia’s Coordinator for the World Youth Championship to be held in the Philippines in December.

Bob Jackman will discuss the future of the Trans Tasman Challenge with the NZ association in August.

AU PAIR. Basic instructions are to be reinstated on the national web site.

Mattel UK in consultation with Karen Richards is to pilot ‘short Scrabble®’ (smaller board, less tiles) for 6 to 10 year olds. Karen will provide kits to any state that wants to trial these in Australia. ASPA WA will trial this at St Stephens.

 

OTHER BUSINESS

 

St Stephens Primary School, Duncraig will start its club for gifted students in June and is prepared to trial the short Scrabble®  for 6 to 10 year olds.

 FACEBOOK. Chris Hall has done a great job setting up and running Facebook. Two competitions have been completed and a third is underway.

 Flat boards. Clubs will require replacements so more will be purchased from Mattel.

SURVEY to determine the format for the 2010 WA Championship. The outcome was a majority in favour of Option 3; Players rated 950 points and above will be divided into to divisions (A & B) of equal numbers. There will be an 8 game tournament on the Monday for players rated below 950 points. This result has been published on the WA web site.

TOURNAMENT ORGANISERS GUIDELINES were handed out to committee members with the intent of finding volunteers to run tournaments. Copies are to be sent to all club organisers. It was agreed to approach members and club organisers to seek volunteers to commit to taking responsibility for one box each of tournament equipment. Replies/feedback from clubs and members due by Monday 26 April.

CASPA
World Championship qualifying criteria has been revised.
Mattel have committed to $10,000 funding for Scrabble Australia for 2010.
Trans Tasman Challenge will be held in Christchurch NZ 14 – 16 August 2010.

OTHER BUSINESS

FACEBOOK. Thank you to Chris Hall for setting up the WA Online Scrabble League on FACEBOOK.

STOCKTAKE. As at 17 Dec 2009 value of sales stock and equipment was  $8,500.

St Stephens Primary School, Duncraig. Glenys will meet with teacher Shirley Houston on Tuesday 2 March to discuss a possible workshop for students.

Westcoast Community Centre. Glenys will present another session on 18 March.

The meeting expressed a vote of thanks to Anne Donnelly for her volunteer work as the AU PAIR computer operator over the past several years. Graham Bell was thanked for taking on the storage and transport of the computers.

AU PAIR. Graham Bell has volunteered to take on the AU PAIR duties.

ROTATING BOARDS. Thailand advised cost about $50 each. Cost to freight would be around $60 to $100. Payable by bank transfer costing around $40. Probably want to order about 30 rotating boards and will proceed on this basis.

ZYZZYVA. The table layout configured to accommodate access to ZYZZYVA.

OTHER BUSINESS

FACEBOOK. Chris Hall has agreed to start up a WA league on FACEBOOK.

Westcoast Community Centre. Glenys presented a 2-hour session on 5 November.

Tournaments – starting on time. Jane Dalton submitted a proposal that tournaments start on time and that latecomers clocks be started. Chris Hall proposed that if players have not checked in 15 minutes before the start time their names be deleted from the draw. This was agreed. Exceptions will be made for players who ring the emergency number to advise they have been held up (e.g. traffic) but will definitely be attending.

Second hand laptops. Jenny has access to some 2nd hand laptops and Mike will organise purchase from Jenny on behalf of ASPA WA.

ASPA (WA) ANNUAL GENERAL MEETING

Held at the South Perth Senior Citizens Centre, 53 Coode St, South Perth

The meeting was opened by Glenys Lawrie, President at 12.20 pm

The minutes of the 2008 AGM were read to the meeting. Confirmation & acceptance of the minutes of the 2008 AGM moved C Hall seconded F Lefebvre.

Business arising from the 2008 AGM minutes is covered by the agenda.

 

Presidents Report – was tabled. Acceptance moved M Clarke seconded C McCormick

 

The Financial Report was tabled and copies distributed. Balance as at 27 June 2009 was $6,143.51. ASPA (WA) profit for the financial year was $722.03.
Acceptance moved J Jones seconded F Lefebvre.                                                                                 

Affiliation Fees ($3 per club member) are due 30 Sept each year. Melville and Manjimup Clubs have paid affiliation fees for 2009/2010.

Membership/Fees – there were 156 financial members as at 28 June 2009. Financial members for 2009/2010 as at today = 97. Annual fees remain at $15 pa.

 Tournaments. We now use only protiles & rotating boards at all tournaments. The AFL fixtures are taken into account (Eagles & Dockers games in Perth on Sundays) when setting the tournament calendar. The rent for the South Perth Senior Citizens Centre (currently $150 per day) is expected to go up in the near future. Jenny Coetzee offered to check the suitability of a (possibly) free venue available in the Shire of Cockburn. There will be a Fun Day on 3 January 2010.

Members were asked to consider taking on some of the tasks involved in running tournaments such as storage and transport of tournament equipment, making nametags, mail out of circulars & tournament reports.

 

The CASPA AGM was held on 10 April 2009. The Office Bearers elected were:

National Coordinator - Glenys Lawrie.
Treasurer - Carol Hudson retired and Mike Clarke is the new CASPA Treasurer.
Rules Committee Coordinator - Mike Clarke retired and Chris May (NSW) took on this position.
Ratings Advisory Committee Convenor – Barry Harridge (VIC) retired and Edward Okulicz (NSW) is the new Convenor.
National Ratings Officer – Alistair Kane (VIC) retired and Barry Harridge took on this job.

National Website Coordinator – Martin Waterworth (QLD).

WESPA (World English-language Scrabble Players Association). Karen Richards (NSW) and Andrew Fisher (VIC) are Australia’s representatives on the WESPA Committee. Karen is the World Youth Coordinator, Andrew is the WESPA Treasurer. Barry Harridge (VIC) is on the Dictionary sub committee, Bob Jackman (NSW) is on the Tournament and Ratings sub committees, and Chris May (NSW) is on the Rules sub committee.

Australian Masters/ State Challenge Trophy 2009 will be held in Sydney in Sept. Edie Mueller, Glenys Lawrie, Sally, Martin and Chris Hall are likely to make up the ASPA WA team. The first reserve is Judy Jones, second reserve is Dianne Ward.

Australian Scrabble Championship Easter 2010 will be held in Adelaide (Glenelg).

Glenys thanked the 2008/2009 committee, office bearers and volunteers for their contribution and support during the past twelve months.

Written nominations were received and tabled for the following office bearer positions and committee membership and were elected unopposed.

Nominations for further committee members were called for at the meeting and Judy Jones nominated by Maureen Gill seconded Edie Mueller, and

Maureen Gill nominated by Judy Jones seconded Cori Lodder, were elected unopposed to the Committee.

 

General Business

 

Fifi Lefebvre thanked Maureen Gill for her fund raising efforts and Glenys Lawrie and committee members for their work during the past year.

Maureen Gill advised the meeting that tournament results and ratings will in future be posted direct to the WA website rather than emailed. Chris Hall will continue to post results and ratings to the national email list.
