Executive Board POSITION DESCRIPTIONS AND DUTIES:

*President / Co -  President

preside at all meetings of the association,

appoint chairpersons of PA committees,

delegate responsibilities to other PA members,

attend all regular meetings of the region/district presidents’ council

be a core member of the school leadership team,

meet regularly with the Executive Board members,

be of the signatories on checks, represent the PA on region/district committees

 

*Treasurer

be responsible for all financial affairs and funds of the association

for maintaining an updated record of all income and expenditures

shall be one of the signatories on checks

implement all financial procedures

present and provide copies of financial reports at all association meetings

prepare and provide the January 31st interim and June annual financial accounting reports

make available all books or financial records for viewing by members upon request

attend all meetings of the association

 

*Recording Secretary

maintain the official record (minutes) of the proceedings and actions of all association meetings

preparation of notices, agendas, sign-in sheets

prepare and read the minutes of each association meeting and shall make copies of the minutes available

maintain custody of the association’s records

sign and incorporate all amendments into the bylaws

responsible for reviewing, maintaining and responding to all correspondence addressed to the association

May be one of the Signatories on the checking account.

attend all meetings of the association

 

1st Vice President

assist the president or co-presidents,

may be one of the signatories on all checks,

Chairs the Fundraising Committee,

attend all meetings of the association

 

2nd Vice President

assist the president or co-presidents,

Chairs the Hospitality and Membership Committee,

attend all meetings of the association

Arranges for refreshments for all meetings

Arranges for guest speakers for meetings

 

Corresponding Secretary

attend all meetings of the association

Records the mail received by the association

Prepares responses or correspondence

Prepares and distributes meeting notices

Chairs the Communications Committee    

 

Financial Secretary

attend all meetings of the association

assist the Treasurer in Record keeping of all Monies Received and spent by the PTA,

Assists the Treasurer in the preparation and filing of all required finical reports, including the Interim and Annual reports

Provides all required information to the Audit Committee President

 

*these 3 positions Must be filled to have a functioning PTA

 

The ORDER of SUCCESSION (if one position is VACATED) of core members is as follows:

  • If there is a President, the 1st Vice President may take the President’s position if the president can not fulfill their duties
  • If there are co-Presidents and one resigns, the other co-President becomes President.
  • In the event the Treasurer resigns, the 2nd Vice President may take this position.
  • If the Recording Secretary resigns, the Corresponding Secretary may take on this position.
  • If someone does not wish to take a core position then a election shall take place within 48hrs.
