                              VENDORS' GUIDELINES

 

Table Rentals: See Vendor's Form below:

Six feet tables and folding chairs will be provided as requested.  Electrical outlets are available, but limited.

 

 Application: Submit your "Vendor Form" as soon as possible to ensure you will be granted a table(s) with your requirements (location and perhaps one of the limited electrical outlets).  Vendor table(s) and location will be assigned upon receipt of the Vendor Form.  A check that covers the fee must accompany the Vendor Form.  No refunds will be given if you decide to cancel your vendor table request. However, if your request cannot be met because of space being sold out, your money will be returned.

 

Cancellation:  Cancellation by the vendor will not be honored.  If for any reason the Conference is cancelled by HOGAR de Dallas, your table rental fee will be fully refunded.

 

Vendor’s exhibit set up time will start at 3:00 P.M. on Thursday Sept. 24, 2009. Exhibit for attendees will open at Thursday evening at 5:00 pm. Vendors exhibit will close on Saturday at 6:00 p.m.

 

Security: Hotel will have security on duty; however, neither the Hotel nor HOGAR de Dallas will be responsible for losses or damages.

 

Audio – Visual Equipment: Bring any equipment needed for your purpose.  If not, the audio-visual equipment can be supplied by Swank Audio Visuals, Crowne Plaza’s in-house technicians.  Swank Audio Visual will bill you for these services.  Charges for equipment are subject to applicable service charges and taxes.  Audio Visual Equipment canceled within twenty-four (24) hours will be charged at the full retail amount. 

 

Shipping Arrangements: The Hotel will agree to package and ship your supplies or equipment at a charge agreed upon by both parties.  When shipping packages to the Hotel, please address your boxes as follows:

  Following these guidelines will ensure prompt delivery of your packages.  You further agree to assume full responsibility for materials or equipment shipped to the Hotel. 

 

Storage: Shipments cannot be accepted or stored more than seven business days prior to the function. Storage space arrangements must be made with Hilda Needham for storage space after the conference.  Any damages or loss of equipment and/or supplies left in storage space is neither the responsibility of the Hotel nor HOGAR de Dallas.

 

Electrical Outlets: Limited outlets will be available – first come, first served

 

Wireless Connection: If you would like to use the Internet on your wireless lab top, bring your wireless card.  The Hotel charges extra for wireless Internet connection in all rooms except in the lobby. Contact the Crowne Plaza Hotel at (972) 980-8877 and ask for Kaye Walton, Convention service manager, for information on exact charges.

 

Door Prizes: Vendors will have the opportunity to donate one or more door prizes to be given away throughout the conference. See enclosed Door Prizes Form, complete the form mail it as soon as possible.
