Grantham Swimming Club Rules

In Accordance with A.S.A. Rules and Guidelines

1
The name of the Club shall be	- Grantham Swimming Club
and the Club colours shall be	- Black and Gold
The headquarters shall be	- The Meres Leisure Centre, Grantham
2
The objects of the Club shall be the objects of the A.S.A.
3a
The Club shall be affiliated to the A.S.A. East Midlands District and to such other bodies as the Committee may decide.
3b
Club members divide into two categories

1. Junior Members -  Any person under the age of 18 who is in subscription
2. Senior Members - Any person aged 18 or over  who is in subscription or 
		any parent/guardian aged 18 or over of a Junior Member 
		who is in subscription.

Note i)  Any employee or sub-contractor of the Club may be a member, but may 
not stand for election to the committee.

All senior and/or honorary members plus the two Club Captains are eligible to vote at an AGM or an Extraordinary General Meeting (EGM)
4a
The Annual General meeting (AGM) shall be held on a date in December each year.
4b
Additions, deletions or alterations to rules shall be made only at an AGM and any propositions for such additions, deletions or alterations shall be submitted to the Secretary not less than 28 days before the AGM.
4c
The quorum at an AGM shall be 15 voting members.
4d
An Extraordinary General Meeting shall be called within 28 days of receipt by the secretary of a written request from 10 senior members. Such a meeting is to deal only with the matter which is given in the request.
4e
A notice of an AGM. or EGM, shall be posted at the Club headquarters not less than 14 days before the meeting. Such notice shall include an agenda containing all items for discussion and decision.
5a
The Club shall be managed by the Committee, composed of the officers, 8 Committee members and both Captains. They shall meet at least once each month (unless the Chairman, in conjunction with the Secretary calls a meeting). The quorum in each case shall be 33.3%.
5b
The officers of the Committee shall be elected at the A.G.M. and stand for 2 years. 
They shall consist of:-

	President		}
	Hon. Secretary		} to be elected on odd years at the A.G.M.
	Fixtures Secretary	} 
	
	Chairman		}
	Treasurer		} to be elected on even years at the A.G.M.
	Gala Secretary		} 
                
5c
Committee members will be elected at the AGM each year and stand for 2 years with 3 being elected on odd years, and 3 being elected on even years.
5d
Nominations for officers and Committee members for election shall be in writing to the secretary not less than 28 days before the AGM signed by the proposer and seconder.
5e
Officers and Committee members not seeking re-election or wishing to resign at the AGM must notify the secretary 14 days before nominations close for the said AGM.
5f
The Committee shall have the power to co-opt and shall have the authority to appoint a special Committee for any purpose, with or without power to act.
5g
The Committee shall have the authority to make regulations within the framework of the constitution and ASA law, and deal with any, matter not provided for in such constitution and law.
5h
The selection of Mens and Ladies captains and vice captains will be carried out by the Committee prior to the AGM; no swimmer shall be captain or vice-captain for more than three consecutive years.
6a
Candidates for membership of Grantham Swimming Club shall complete an application form and submit it to the Hon. Secretary for trialling and the possible offer of membership by the appropriate person(s).
6b
Admission to Club sessions shall be decided by the appropriate individual as approved by the Committee.
6c
The Committee shall have the power to elect honorary members to the Club.
6d
Fees are due quarterly and must be paid within 7 days of the due date i.e. 1st November, 1st February, 1st May and 1st August. After this date a late payment penalty decided by the Committee will be levied. Annual subscription is due on the 1st November and must be paid within 7 days of the due date. A non-refundable joining fee is due within 30 days of commencement of all new and rejoining memberships. Fees, annual subscription, joining fee and penalty fee shall be decided by the Committee.

All funds and property of the Club shall be applied to the furtherance of the objects of the Club. No funds or property of the Club shall be paid or distributed among members of the Club, except as allowed by ASA law relating to expenses or in relation to obtaining coaching and teaching services. In the event of dissolution, the assets remaining shall be devoted to objects similar to those of the Club. The Club's accounts shall close on 30th September each year and shall be independently checked and submitted to the AGM.

Swimmers should only compete in an Open event with the approval of the Chief Coach, or in his/her absence, with the approval of his/her assistants. Failure to gain approval in this way may result in the swimmers losing first team/Premier status.

The Chief Coach of Grantham Swimming Club shall be a paid role, with the payscale revisited annually. The Chief Coach will work to a contract and job description and will be required to work within ASA guidelines. The Chief Coach will report monthly to the committee and annually to the AGM. The Chief Coach may be invited to attend the full committee meetings, at the discretion of the committee, but is not entitled to vote on committee issues..

Data Protection Act - any member who objects to their membership details and swimming records being held on file should notify the Hon.Secretary in writing that they wish to be deleted.

Child Protection Act - Adults assisting swimmers in any form must complete an ASA Registration of Club Coaches and Helpers form.
