Welcome to the 2008-2009 Belvidere YMCA Barracuda Swim Team
We are glad you have decided to participate in our competitive swimming program this year! We are looking forward to a year full of fun, challenges, opportunities, and new experiences for all swimmers.
The Coaches and Barracuda Parent Committee realize that there are many demands on the time of swimmers and their families, including travel to and from practices and meets, staffing home meets, preparation for the David Wolf Invitational, and various fundraisers throughout the season. However, we believe the benefits swimmers receive from participation on the Barracuda Swim Team far outweigh the obligations. Swimmers experience the challenge of working hard toward a goal, feeling the exhilaration of winning, and sometimes the frustration of defeat. Our swimmers need a lot of support, so it is essential that parents are involved.
The primary objective of the Belvidere YMCA Swim Team is to mold healthy and trustworthy future citizens through emphasizing the ideals of good sportsmanship, loyalty, perseverance, courage, and reverence. This is accomplished through the development and improvement of swimming skills and techniques. As swimmers mature in the sport, they learn problem-solving skills that are applicable in many life situations. In addition, they develop a sound foundation for their own physical fitness.
Both the Coaches and the Parent Committee stand ready to make your family’s experience with our swim team a positive and memorable one. Your ideas and suggestions are always welcome.
The basic objectives of the YMCA are to promote and aid in the development of Christian standards of living, conduct, and life in its members. In the attainment of this goal, the YMCA seeks to promote the spiritual, mental, and physical welfare of persons and to emphasize reverence for God, responsibility for the common good, respect for the individual and the application of the golden rule in human relationships.
The YMCA requires each family with a swimmer(s) participating on the Barracuda Swim Team maintain a Family YMCA Membership beginning on the date of swim team registration and continuing for 12 consecutive months. (Because they only swim half of the season with our team, high school aged swimmers who swim with a high school team may have a Young Adult Membership.) Membership must be obtained by October 15th. Scholarships are available.
Please note: Families who cancel their memberships early will be required to pay outstanding fees plus a new joiner fee prior to registering for the Swim Team in a subsequent year. See the YMCA for details.
The objectives of the Barracuda Swim team are to provide:
· a physical and recreational outlet.
· opportunities to learn sportsmanship and team concepts.
· opportunities for social and emotional development.
· educational opportunities.
· training and competition for all swimmers.
Although all swimmers should strive for excellence, the emphasis in this program is not “winning” above all else. All swimmers who work hard at practices and improve their times are winners, even if they place last in their event at a meet.

Team Rules
To be a member of the Barracuda Swim Team, swimmers must:
· be no older than 21 years of age, as of December 1.
· be able to swim unassisted 1 length of the pool freestyle (front crawl with face in the water and rotary breathing).
· pay the team registration fee of $125.00.
· agree to compete only in YMCA meets during the season. (NOTE: High school swimmers participating in IHSA programs cannot participate in the YMCA program during their respective IHSA season.)
In addition, swimmers should:
· attend 3 practices per week whenever possible.
· be willing to attend swim meets.
· purchase and wear a team suit at all meets.
· wear a team cap at meets if you choose to wear a cap. (Wearing a cap will make you swim faster!)
· notify Coach Kim (by paper, website or e-mail) if you will be attending a swim meet.
· notify Coach Kim with a phone call for any last minute meet cancellations (because of illness).
· participate in the David Wolf Invitational if at all possible.
· participate in District and State Meets if qualifications are met.
Although the YMCA provides facilities, the Barracuda Swim Team is a self-funded organization. All expenses for running the team, including coaches’ salaries, are paid for with registration fees and the fundraising efforts of the Parent Committee and the swim team families. Parents are encouraged to check with their employers to see if their company provides grants to organizations such as ours. (If yes, please contact the Parent Committee.)
Registration fee is $125.00 per swimmer and is due at registration. If needed, the registration fee may be paid in two installments, 50% due at registration and 50% due by December 1, 2008. The second installment must be paid before swimmers will be allowed to practice or swim at meets after December 1.
The Barracuda Parent Committee works in conjunction with the Program Director and supports the Barracuda coaches. The committee organizes swim meet volunteers, social events and fundraisers. Membership on the Parent Committee is open to the parents/guardians of any child on the team. Members are nominated (or volunteer) and elected by swim team families each spring for the following season. (See Appendix B for a list of Parent Committee members.)
Parent Committee meetings are tentatively scheduled for the first Thursday of each month, at 6:00 p.m., in the Social Room at the YMCA. Meetings are open to all swim team parents.
To facilitate communication and distribute information throughout the swim season, the swim team has a “mailbox” which contains a hanging file folder with each family’s name on it. This mailbox is located next to the coffee station inside the front door at the YMCA during each practice. Toward the front of the box, there are files with coaches’ names on them along with special folders for meet attendance forms and other team business and correspondence. Families should check their folder frequently as information is updated or added often.

To ensure that the coaching staff is able to spend as much time as possible with swimmers during practices and meets, questions not requiring immediate attention from a coach should be directed to a parent committee member. Parents who need to speak specifically with a coach regarding a matter concerning your swimmer should do so before or after practice times, or by e-mailing or phoning a coach at home.

The Parent Committee and Program Director are available for any general questions, concerns or suggestions.
Parents who have concerns regarding coaching should feel free to discuss them with the Coaching Staff or Program Director. Discussions among parents might give comfort, but they do not make the team better.

Bigeye
The main emphasis for this group is on mastering the four competitive strokes, starts and turns. Practices are 75% instructional and 25% training. There will be a minimum of four lanes for this group. Swimmers will be placed in lanes based on their skills and times. Lane assignments may change and will depend on the number of swimmers at any given practice.
Sawtooth
Swimmers should be able to complete 150 yards of each of the 4 strokes and swim 500 yards freestyle non-stop. Practices are 50% instructional and 50% training. There will be a minimum of four lanes for this group. Swimmers will be placed in lanes based on their skills and times. Lane assignments may change and will depend on the number of swimmers at any given practice.
Sharpfins
Swimmers should be able to complete 300 yards of each of the 4 strokes and swim 1000 yards freestyle non-stop. Practices are 25% instructional and 75% training. This group requires a huge commitment and is not for everyone. (Swimmers who were in the Red group last year need to decide whether they want to put forth the level of effort required and understand that it is o.k. to choose a different practice group.)
Although swimming is a team sport, it is also about individual effort. Being in a particular practice group is not equal to a certain status nor does it indicate that one group is better than another. If a swimmer in a more advanced practice group is struggling to complete the workout, either because of health issues or other reasons, it is much better to move down to the next practice group and be able to complete the entire workout.
For the first week of practice (September 29 – October 3), all rookie swimmers (new to the Barracudas) will swim from 5:45 – 6:40 pm. All returning swimmers will swim from 6:45 – 8:00 the first week. All swimmers will be assigned a practice group on Thursday, October 2.
Bigeye 5:45 pm - 6:45 pm
Sawtooth 6:45 pm – 8:00 pm
Sharpfins 5:45 pm – 8:00 pm
Practice Expectations and Discipline
Arrival Times: With three practice groups and two starting times, it will be the swimmer’s responsibility to make sure they are prepared for practice at the proper time. Coaches will not police the locker rooms to make sure that swimmers are in the pool for their practice session. Swimmers are encouraged to show responsibility and be ready for practice by waiting on the bleachers with suit, cap, goggles, and fins.
It is very disruptive when swimmers come to practice late. Although situations arise when it is not possible to get to practice on time, late arrivals should be the exception and not the rule.
Discipline at Practice: During swim practice, swimmers are expected to be respectful and listen to the coaches. If a swimmer is not listening (for example: playing under water when asked to stay above water) or not following the rules, the coach will ask the swimmer to sit on the pool deck for an age appropriate amount of time – generally 5 minutes or less for a first offense. A swimmer in “time out” will be allowed to retrieve their towel if they desire. If there is a third offense in the same practice session, coaches will have the swimmer get their towel and sit on the bleachers until practice is over. Coaches will do their best to communicate with parents when this happens.
Tired/Not Feeling Well: Swimmers who need to sit out of practice for any reason (e.g. not feeling well or tired and needs to rest) will be asked to sit on the pool deck “on the yellow.” They will be allowed to retrieve their towel if they desire. A swimmer who is not actively participating in the workout will not be allowed to stay in the pool or sit in the gutter as this is a distraction to the swimmers who are practicing. If a swimmer has been out of the water more than 5 minutes, the coach will encourage them to get back in. If the swimmer does not want to resume swimming, the coach will have the swimmer get their towel and sit on the bleachers until they are ready to get back in or until practice is over.
Rest Room Use: Swimmers who need to use the restroom during the workout should inform their lane coach who will then excuse them. Coaches may limit restroom use to one swimmer at a time unless it is an emergency. If the request is close to the end of practice, the coaches will tell the swimmer how much time is left in practice and ask them if they can wait. If not, of course the swimmer will be excused.
Code of Conduct: Swimmers and parents are expected to follow the code of conduct that is signed at registration. In the event the provisions of the code of conduct are not abided by, the following disciplinary action will be taken:
1st incident – verbal warning to swimmer
2nd incident – written notification to parents
3rd incident – 1-week suspension from practice and meet
4th incident – dismissal from the team
Swim Meets
Swim meets consist of 47 events each for boys and girls. (See Appendix F.) Five to seven individual events and two relays are scheduled for each age group. Age groups are divided in the following categories: 8 & under, 9-10, 11-12, 13-14 and 15-21. At all home meets and most away meets, there are 2 events for 6 & under, 25 freestyle and 25 backstroke.
Swimmers swim in the same age bracket for the entire season. Brackets are based on the swimmer’s age as of December 1. For example, a swimmer who will turn 11 on November 30th will swim in the 11-12 age group for the entire season, even though they are only 10 when the season starts. A swimmer who will turn 15 on December 2nd will swim in the 13-14 age group for the entire season.
Dual Meets: Most dual meets run approximately 3-4 hours and are held at locations within 2 hours drive or less. Each swimmer is allowed to participate in a maximum of 4 events, including relays. (A swimmer may not swim 4 individual events – they may swim 3 individual events and 1 relay or 2 individual events and 2 relays.) Swimmers may swim additional exhibition events and relays for time only.
Swimmers who are disqualified or who are swimming exhibition (for time only) are not eligible to receive points or ribbons. At home meets, ribbons are given out through 6th place in all events.
Invitationals: Invitationals are usually all day meets where multiple teams are invited to attend. At invitationals, teams sit together in designated areas. During the course of the day, swimmers may have more than an hour between the events, so they may want to bring a sleeping bag, blanket, pillow, more than one towel, sweats, snacks, and items to keep them busy when they are not swimming. Swimmers should be sure to bring plenty of warm, dry clothing as it can be very chilly in some of the designated seating areas. Lawn chairs are important for parents!
Districts: The YMCA swimming program in Illinois is divided into 5 districts. The Belvidere YMCA is in the Northwest District, which includes most of NW Illinois. To participate in the District Championship, swimmers must achieve times equal to or less than qualifying times at a meet held during the current season. Each team may enter only one relay per event in a championship meet. Since entries for championship meets must be submitted in advance and substitutions are not allowed, alternates are normally listed for relays. Being listed for a relay event counts toward the 4-event limit, even though a swimmer may not actually swim in the relay.

Meet attendance forms must be completed in order to let the coaching staff know whether or not a swimmer plans to attend a particular meet. The forms will be distributed in the meet packets at the beginning of the season. Extra blank meet attendance forms will be available in the swim team mailbox.
Unless otherwise indicated, completed meet attendance forms must be submitted NO LATER THAN Tuesday at 7:00 pm of the week a meet is held. Coaches will assume that swimmers who fail to turn in a meet attendance form are not attending that meet and will NOT put them in the line-up. On the day of the meet, any swimmers attending who are not in line-up will be put in exhibition events and may not be able to swim in any relays.

Parents are responsible for getting their swimmer(s) to each meet. Many parents carpool or “caravan” to the meets. Maps to all meets will be distributed with the meet packets and will be available in the swim team mailbox. Coaches may not drive swimmers to meets unless the swimmer’s parent is also in the vehicle.

Swim Meet Conduct
At meets, swimmers should:
· stay in the pool area and be ready to swim their events.
· (when behind the blocks) focus on their race and visualize themselves swimming.
· cheer for their teammates. (Cheering and applauding for teammates stimulates team spirit. Cheering is encouraged for all swimmers, including opponents who are also trying their best.)
· conduct themselves with dignity and maturity. (Officials and opponents should always be treated with respect. Swimmers are encouraged to shake hands with their opponents after a race, even if they lose, or compliment their opponent if that person swam a great race. Swimmers should never “boo” their opponents!)
· remove all personal belongings after a meet.
· not have food or drink in the pool area. (Food and drink is not permitted in the pool area by parents either.)
· keep their bodies out of the pool when they are not participating in an event. (This may cause the swimmer in that lane to be disqualified.)
· stay out of the pool gutters so officials, coaches, and other swimmers may walk safely on the deck.
To help perform their best and enjoy the meet, swimmers should bring the following to each swim meet:
· team swimsuit (always carry a spare suit in your bag)
· goggles (two pair are suggested)
· swim cap
· warm-up or sweat suit
· towels (minimum of 2 suggested)
· waterproof gym bag (The bag should be large enough for clothes. Some away meets will not have locker facilities.)
Swim meets are long, but a lot of fun! Be sure to bring what is needed to keep swimmers (and family members) warm, comfortable, and entertained between events. Items families might like to have for all day meets include: lawn chairs, sleeping bag or blanket, cards or board games, healthy snacks (fruit, pasta salad, etc.), pillow, books or magazines, etc. Swimmers should leave their valuables at home.
Parent Participation at Home Swim Meets
It takes a great deal of parent participation to effectively run a home swim meet. Parents are needed for everything from timing to concessions. Without parental involvement, it would not be possible to host home meets, consequently, parents are encouraged to set a good example for their children and work at every home swim meet.
For each home meet, there will be job and food sign-up sheets on the bulletin board in the hall. (See Appendix G for a list of home swim meet jobs.) Please sign up by Thursday to work and to bring food for the Saturday meet. Parents do not need to stay with the same job each meet and are encourage to work various jobs throughout the season. Please note that parents who bring food are still required to work at the meet. Parents who have not signed up to work at a meet will be contacted by a Parent Committee member and assigned to any remaining, unfilled positions. In order to track parent involvement, the meet coordinator will collect the sign-up sheets at the end of each meet. Parents who are substituting for someone should be sure to get their name on the sign-up sheet before the end of each home meet.
We realize that there are times when something unexpected comes up late in the week that prevents a parent from working at a swim meet. If that happens, please contact the meet coordinator (and be sure to leave a message if he/she is not home).

The Barracudas will be hosting the annual David Wolf Invitational at the Belvidere Family YMCA on Sunday, January 4, 2008. Our goal is to have 100% of our swimmers participate in this meet! Last year, eight teams and over 400 swimmers participated in this invitational. The meet is a lot of work, but is a major fund-raiser for the Barracudas and helps directly in keeping registration costs down.
Although the entire Parent Committee organizes the David Wolf Invitational, the help of EVERY PARENT (two shift minimum) is required to make this meet a success. Jobs range from selling concessions or labeling awards to timing the events. Each family will also be required to donate pop and/or water, and will be asked to donate food items. The meet will last the whole day - 6:00 a.m. to 6:00 p.m.
Major expenses for the David Wolf Invitational include pool rental, medals for 1st - 3rd places, ribbons for 4th - 12th places, and team trophies. Major businesses are contacted and asked for donations for some of these items. Parents who work for a company or know someone who would be willing to donate money or other items for this event or have any questions or ideas should contact a Parent Committee member.
At the end of the season, generally early in April, the Barracudas hold an end-of-season banquet where all swimmers are recognized for their number of years with the team and given awards for swimming at Junior Districts, Districts, State, and Regionals. In addition, there are several other awards given including:
Most Valuable Swimmer: This award is given to one boy and one girl in each age group. It is based upon attitude, cooperation and work during meets and practice. Stroke mastery and meet performance also weigh in. The high point totals for the season are also used as a measurement when determining winners.
Most Improved Swimmer: This award is given to one boy and one girl in each age group. It is for the swimmer who shows improvement in stroke technique and determination to do so (??) in meets and practice. The number of best times throughout the season is also used as a measurement for determining the winners.
Rookie of the Year: This award is given to one boy and one girl in each age group. It is given to new swimmers only. This combines qualities of a valuable swimmer and a most improved swimmer.
Alexis J. Arnett Award: This award is given to a dedicated swimmer who possesses the qualities of leadership, dedication to practice, team spirit, good attitude, mature sportsmanship, cooperation, courage, perseverance, and respect.
Swimmer of the Year: This is given to 1 boy and/or 1 girl who exemplify swimming at its best. The swimmer who wins this award characterizes good sportsmanship, team spirit, hard work, cooperation, good attitude, and leadership.
Attendance Awards: These awards are given to all swimmers who maintain 75% or more attendance at all practices. Attendance percentages are calculated based on the day the swimmer starts the season which is generally the first day of practice (except for high school girls) through the last practice before a swimmer’s final meet (either Districts, State or Regionals). Only doctor’s notes excuse an absence for attendance award purposes. Although the coaches realize that many swimmers are involved in multiple activities and cannot keep a consistent 75% attendance rate, they still feel that it is appropriate to honor the dedication of those who do.

Fundraisers
David Wolf Invitational Ads
The David Wolf Invitational is a major source of income for the Barracuda Swim Team. Ads which are placed in the meet Heat Sheet are sold to businesses or families. A business card size ad is $25.00, a half-page ad (8 ˝ x 5 ˝) is $50.00, and a full-page ad (8 ˝ x 11) is $75.00. A packet of information which will explain the fundraiser in detail will be available at the Parent Meeting.
Each swimmer who sells $100 in ads will receive a $20.00 gift certificate to use at the Cuda café or to purchase swim apparel or other items from our vendor at the David Wolf Invitational.
Swim-A-Lap
Swim-a-Lap is a swimming “marathon” held annually. During the event, swimmers will swim laps continuously for 1 hour. Prior to the event, swimmers will be asked to collect monetary pledges from family and friends on either a per-lap basis or a one-time donation. Each swimmer who earns $20 or more will receive a Swim-A-Lap T-shirt. Because Swim-A-Lap helps swimmers reach their swimming potential by building endurance, all swimmers should participate, even if they are not collecting pledges.
This season, Swim-A-Lap will take place on January 12 or 13. (Boys swimming on a high school team will complete Swim-A-Lap on Thursday, November 20th.) Swimmers can choose to swim at either practice, but not both. Please note: Parents will be needed to help count laps at this event.
Ice Sales
For one of our major fundraisers, parents (and swimmers) are recruited to sell bagged ice to vendors during the annual Boone County Fair. Volunteers are needed to work from 9 am to 10 pm every day the fair is held. There are generally 3 shifts per day. Lawn tractors for delivering ice to the various vendors at the fair are donated by local businesses. Parents should indicate their interest in participating at the spring banquet. They will be contacted early in the summer to sign up and choose times and dates. Please note, for safety’s sake, swimmers may not show up to work unaccompanied by an adult! Each family (with a scheduled worker over 21 years old) will receive a $10.00 coupon for Action Accents merchandise for each shift worked. Merchandise will be available the first two weeks of the season.
The Barracuda Swim Team sponsors a variety of social events for swimmers and their families throughout the year including “Sundaes on Sunday” ice cream social, a Christmas party, a bowling party, and the Heritage Days Parade. In addition, the team participates in the American Cancer Society’s Relay for Life at the Boone County Fairground in May.
It is the Parent Committee’s hope and expectation that each family will help out with at least one social event in addition to working at the home swim meets. (See Appendix A for a schedule for dates.)

Appendix E
Bull-Pen – A designated area at a meet where swimmers report before their event to be arranged into their heat and lane assignments.
Deck Seeding - A procedure of assigning swimmers to proper lanes and heats immediately before each event.
DQ (Disqualification) – If a swimmer makes a mistake while swimming an event, an official will disqualify the swimmer. In most cases the official will explain to the swimmer what he/she did wrong. Swimmers should try to view the disqualification as a learning experience. Swimmers who are disqualified do not score points or receive ribbons for that race.
Exhibition – In each meet, only a certain number of swimmers are allowed in each race. If a specific age group has more swimmers than the limit, some of those swimmers are allowed to swim exhibition. In an exhibition swim, your time still counts, however you do not receive a ribbon for that race.
False Start – The official uses a start system or a starting gun to start the race. If a swimmer leaves early, a false start and disqualification may be declared.
Finals -Used at championship meets, the session where qualifying rounds were held previously to determine the finalists. The finalists compete to determine the winner.
Heat Sheet – A listing of all swimmers by event used at invitational and championship meets.
Heat sheets may be purchased at the beginning of a meet.
Prelims - The qualifying rounds held for each event at championship meets to determine the finalists.
Referee - Official who has the authority over all other officials at a meet. They make all final decisions and see that the meet is run efficiently.
Seed Times - The time a swimmer uses to enter an invitational or championship meet. This time determines the swimmer’ position and lane in a particular event.
Split Time - A per lap time that coaches often record for teaching the concept of pacing. For instance, a swimmer’s time for a 25-yard leg of a 100-yard event is their split time.
Starter - Official who is responsible for starting each heat and calling the next heat to the blocks.
Stroke Judge - Official who determines the legality of swimmers’ strokes and disqualifies (DQ) those who do not conform to stroke rules.
Touch Pads – The part of an electronic timing system that hangs below the surface of the water. A swimmer touches the touch pad at the end of his/her event in order for their swim time to be recorded electronically. Electronic timing systems are used at some dual meets, at all invitational and championship meets.

Appendix G
Ribbons: Gets labels from the Scoring Table and places them on the ribbons. Sorts the ribbons by team. Files Barracuda ribbons in mailbox.
Back-up Timer: The backup timer is not responsible for a specific lane, but starts his/her watch for every race and steps in for a lane timer if needed.
Breaks: Covers for short breaks for timers, backup timers, runners and bullpen workers.
Bull Pen Announcer: Walks through swimmer staging areas for all teams with bullhorn, announcing events currently in bullpen.
Bull Pen: Organizes swimmers into heats and lanes. Makes sure the next heat of swimmers is behind the blocks and ready to go.
Concessions: Selling food, setting up, cleaning up.
Locker Room: Checks the locker rooms. Makes sure showers aren’t left running, toilet paper and paper towels aren’t empty and swimmers are not goofing around. Supervises doorway entrance from locker room to pool to make sure spectators are not blocking access.
Meet Setup/Clean Up: Moves bleachers. Setup and put away chairs, signs, touch pads, and timing system before meet starts. Please note: All parents are expected to help clean up and put away equipment after the meet.
Team Room Cleanup: Every family should remove their belongings and trash. Team room cleanup workers vacuum and make sure the team rooms are left clean.
Pool Door Monitor: Blocks doorway between pool and lobby so that no swimmers or spectators enter or exit the pool area. Redirects them through the locker room. Only Officials, Coaches, and Parents working a shift are allowed through the door.
Runner: Collects the cards from the timers and gives them to the scorer/computer people.
Scoring/Computer: Reconciles the cards from the runners with the timing system. Prints labels for awards and results. The labels are given to the Awards people.
Team Monitor: Sits with the Barracudas in the team room, ensuring proper behavior; reminding swimmers when to go to the bull-pen (since most parents will be working). Team Supervision is NOT designed to be a babysitting service. The purpose of Team Supervision parents is to keep an adult eye on swimmers between their events and to remind swimmers about reporting to the Bull Pen.
Timer: Starts a stopwatch and records time for a specific lane.
Timing System: Runs the timing system.
